Managing Attachments In Absence Requests

Learn how to upload, view, and edit attachments in your absence requests, and see who can access them during the approval process.

Why Attachments Matter

Adding attachments to your absence requests helps ensure proper documentation and keeps all relevant information accessible for approvers and admins.

This is especially useful when supporting documents (e.g. doctorโ€™s notes or travel confirmations) are required for review.

Adding and Viewing Attachments

To add an attachment, click the paperclip icon ๐Ÿ“Ž in the lower-right corner of the absence request window.

  • Once uploaded, attachments appear in a new row within the Note field, showing how many files have been added.

  • Click this row to open the list of attachments. From there, you can view or remove files as needed.

Email Notifications

Attachments are included in email notifications for all absence request actions:

  • Requesting

  • Approving

  • Rejecting

  • Cancelling

This ensures that everyone involved stays informed and has access to the required files throughout the process.

Who Can See the Attachments?

Attachments can be viewed by the following individuals:

  • Booking Owner: The person who created the absence request.

  • Booking Approver: The individual responsible for approving the absence request.

  • Users with Permission: Coordinators, Managers, Profitability Managers, and Admins who can access notes and attachments on all absence bookings.

Editing Attachments

If your request is still Pending, you can edit the absence booking to update or remove attachments.

  • Open the three-dot menu next to the absence request

  • Select Edit

  • Modify your details and manage attachments as needed

๐Ÿ“Œ Note: If absence approvals are not enabled in your account, requests are approved automatically. Once submitted, attachments can no longer be modified.
